Occupancy Agreement

The following Occupancy Agreement is provided to protect you, your guests, visitors and pets, as well as your neighbouring guests, our property and most importantly, our beautiful natural resources.

Acceptance and each and every term is required prior to arrival at Country Hideaway RV Campground Limited located at 1285 Manly Meadows Rd, Grand Forks, BC Canada V0H 1H9.

Definitions and Terminology

Within this agreement, all parties agree to the following definitions and terminology:

  • Country Hideaway RV refers to the Country Hideaway RV Campground Limited, its directors, officers and staff.
  • Campground refers to the Country Hideway RV Campground Limited located at 1284 Manly Meadows Road, Grand Forks, BC Canada V0H 1H9.
  • Campground Office refers to the office located on the  Country Hideaway RV  Campground Limited located at 1285 Manly Meadows Road, Grand Forks, BC V0H 1H9.
  • Lodger refers to the party renting overnight stay on the real property provided for overnight rental by the Country Hideaway RV Campground Limited.
  • Guests refer to  parties (adults and children) staying on the same piece of real property provided for overnight rental by the Country Hideaway RV Campground Limited.
  • Visitors are those parties who have been approved  in advance (at the time of booking) to visit the Lodger and Guests at the real property provided by the Country Hideaway RV Campground Limited.
  • Pets shall refer to any animal in your care and attention while staying or visiting at the Country Hideaway RV Campgound Limited.
  • Person with a Disability is a personal whom has a disability as defined by either the Accesible Canada Act (Select to view) or as defined by the residency government or the Personal with the Disability.
  • Service Animals as defined by either the British Columbia Guide Dog and Service Dog Act (Select to view now) or the similar government issued Service Animal Act or Rules from your residential Province of State. We only reconize a Service Animal when it is accompanied by the Person with the Disability whom is the regstered to the corresponding Service Animal.
  • Occupancy Agreement refers to this agreement and shall be the legal agreement of occupancy between the Country Hideaway RV Park and Campground Limited and the Lodger stayed at our campground.
  • Site refers to the unit of real property and contents within that is made availible for rental by the Country Hideaway RV Campground Limited.
  • Deposit is defined as the amount of payment provided upon booking a stay with the Country Hideaway RV Campground Limited.
  • Mobility Device as defined by the Accessible Canada Act - Click to access now.
  • Motorized Scooter is defined as a motorized vehicle which transport a disabled individual as defined by the Accessible Canada Act - Click to access now .
  • Drone is defined as a Remotely Piloted Aircraft as defined by the Canadian Aviation Regulations (Click to Access).
  • Hoverboard or Un-Insured Scooter Vehicle refers to a mobility vehicle which is not used as a Disability Mobility device and is not insured for road use within the Province of Britsh Columbia but instead used in the mobility of the operator.
  • Motor Vehicle Act and/or MVA(BC) refers to the Motor Vehicle Act of British Columbia (Click here to view).
    • Motorized RV is defined as a Camper as defined within the MVA(BC).
    • 5th Wheel or 5th Wheel Trailer is defined as a House-Trailer as defined within the MVA(BC).
    • ATV as defined as an All Terrain Vehicle as defined in the MVA(BC).
    • Snowmobile as defined within the MVA(BC).
    • Golf Cart as defined within the MVA(BC).
A. Standard Cancellation Policy (Up to 30 Days)

Our standard cancellation policy is:

  • Cancellation outside of one hundred eighty days of arrival, shall receive a refund with the exception of $50 or 5% of the total amount paid in advance , (whichever is greater).
  • Cancellation outside between seven and one hundred seventy nine days before arrival will forfeit the equivalent to the one night stay plus taxes.
  • Cancellation within seven days before arrival will forfeit the full amount paid plus taxes.
  • A nonrefundable deposit is equivalent to the value of one night's occupancy one night's room and tax deposit is due when booking.

The only exception to the above cancellation policy is the following:

  • Bereavement Cancellation which will require providing us with and offical third-party confirmation.
  • Government imposed travel restrictions which directly effect your arrival and stay with the Country Hideaway RV and Campground Limited.
  • Sole Discretion and Acceptance of any deviation to our Standard Cancellation Policy.
B. Long-Term (31-179 Days) Cancellation Policy

We welcome long-term guests and provide a reduced rate for each night.

Our cancellation policy for guests staying between 30 days and 179 days is:

  • A non-refundable deposit of $200  or 5% of the total rental term payment (whichever is greater) is due at the time of booking.
  • Full payment of the first seven nights and taxes is due 30 days before the arrival date.
  • Cancellation outside of 30 days before arrival will forfeit the $200 deposit.
  • Cancellation within 30 days before arrival will forfeit the full amount paid.
  • Tenancy for long-term stay's is a reduced nightly rate and is in accordance with the Hotel Keepers Act ([RSBC 1996] CHAPTER 206) of British Columbia (Click to view).
  • Guests agree to vacate the premises prior to 180 continuances nights stay as required under the Province of British Columbia Tenancy Act.
C. No Show and Late Arrivals

Reserved sites are held until 11 am the morning after the scheduled arrival date. If you do not show up before 11 am and do not notify us of a later arrival, your remaining nights will automatically get cancelled. Cancellation policies and fees above will apply.

D. Leaving Early

No refunds will be given for guests choosing to leave early. 

E. Deposits, Payments, Refunds & Processing
  1. Minimum Legal Age: The Lodger to be of the British Columbia legal age of 19 or older.
  2. Valid Credit Card: The Lodger must have a valid Visa, MasterCard or American Express Card and to authorize and approve the campsite deposit and charges set forth.
  3. No Sublet Rights: The Lodger must remain during the reserved stay at Country Hideaway and may not be allow to sub-lease, re-rent or otherwise receive compensation for any parties not already registered guests to the campsite.
  4. Electronic Payments shall be viewed as received payments and any cancellation or chargeback shall be viewed as a NSF (non-sufficent funds) payment as defined above. Furthermore, your authorization to provide this payment shall be your absoloute authorization for this payment to be paid to our campground.
  5. Electronic or Other Payments: Upon approval by Country Hideaway, the Loder may provide payments by either Interac E-Mail, Cheque or Cash payments and that these payments do not void the prior credit card security set forth by the Lodger.
  6. Deposits are required in the amount of $50 or 5% of the total rental value (whichever is greater) for stays under 30 days and $200 or 5% of the total rental value (whichever is greater) is due at the time of booking.
  7. Refund of Deposits are only available for stays up to 30 days, if the written cancellation is delivered to our office within 30 days prior to the first nights stay. All other deposits are non-refundable.
  8. Payment defined as the approved payment as received by our campground.
  9. Full Payment is due on the first day of occupancy for stay under for stays over 30 days the first months payment along with a damage deposit of 50% of the last months rental fee shall be payable in full on the first day or occupancy.
  10. NSF (Non-Sufficent Funds) shall be subject to a service fee of $50 along with any financial insitution service fee levied because of your returned payment for non-sufficent funds. You shall have 12 hours to remedy this non-sufficent payment or be subject to termination of your rental agreement.
  11. On-Site Credit Cards Payments will only be accepted with the cardholder presenting the actual credit card in person to our office or employee.
  12. Refunds shall be issued in accordance to this occupancy agreement and shall be issued within 48 hours of approval by our office. We do note that it however can take up to 10 business days to receive your refund due to banking and credit card company proccessing delays. Furthermore, refunds will only be issued to the original payors original form of refund with the exception of cash which can be refunded by company cheque to the original lodger name and mailing address provided at the time of booking and will be issued within 72 hours and should be received within 7 business days from mailing.
  13. Taxes as charged in accordance to both the Canada Revenue Agency and the Province of British Columbia. No exceptions to the levy of taxes will be offered or permitted.
  14. Fees as noted within this Occupancy Agreement shall be subject to taxes in addition to the noted fee.
F. Site Occupancy
  1. Our Rates are based on 2-person occupancy. Charges will apply for additional guests at $5.00 per night per guest.
  • Only one self-contained sleeping unit (RV, Travel Trailer, or Tent) and one vehicle are permitted per site, space allowing. Additional vehicles may be parked in the overflow, and charges apply at a rate of $5.00 each night per vehicle. No different structures are permitted on your campsite, other than the initial self-contained sleeping unit.
  • The minimum age restriction for reservations is 19 years old. A valid credit card is required upon check-in, and the credit card holder must be on-site for the duration of the stay. A photo ID may be requested.
G. Limitation of Liability

The Lodger, Guests or Visitors agree that the absolute liability for Country Hideaway RV may not exceed be the total rental value of the site or $500 (whichever is less) for all claims made by the Lodgers, Guests and Visitors in perpetuity.

H. Lodger, Guest, Vistor and Pet Responsiblity and Liability.

The Lodger (or his or hers heirs), as the legal party who reserved and is responsibility for the property located on the campsite rented, the lodger is fully responsible for any damages, losses or other liabilities resulting from the Lodger, your guests, visitors and pets on the premises at the Country Hideaway RV Campground Limited located at 1285 Manly Meadows Rd, Grand Forks, BC Canada V0H 1H9.

I. Use of Country Hideaway Property
  1. The Lodger agrees that the Lodger, Guests, Visitors and Pet's shall use the property located at 1285 Manly Meadows Rd, Grand Forks, BC Canada V0H 1H9 at the absolute and clear understanding that this use of subject to limited liability as set forth in this agreement.
J. Use of Bathroom, Showers and Sani Dump
  1. The Lodger shall be responsible for the use by the Lodger, Guests, Visitors and Pet's use of Country Hideaway RV's Bathroom, Showers and Sani Dump and shall reframe from any illegal dumping of any hazardous materials or liquids.
  2. The Lodger shall be responsible for any costs, damages or penalties resulting from disposing of any substance or liquids in the Showers, Bathrooms or Sani-dump.
  3. The use of the campground Bathrooms, Showers and Sani Dump is restricted to the Lodger and his or her registered guests.
K. Use of Motor Vehicle and Mobility Devices within our Campground.

Within our campground, the following vehicles are either permitted or not permitted as follows:

  1. The Lodger agrees that the only motorized permitted vehicles allowed to be used within our campground is an insured motor vehicle as defined by the I British Columbia Motor Vehicle Act - (Click to View now) and that a copy of the valid insured will be presented upon request by our Campground Office.
  2. The only other mobility devices are those devices required by Disabled Lodgers or Registered Guests are are operated on an electric platform. If the user of mobility device experiances any issues in navigation of our gravel laneways or roadways, please contact our campground hosts for immediate assistance.
  3. Charging of Electric Vehicles is not permitted within our campground with the exception of electronic mobile devices as defined the Accessible Canada Act - Click to View Now.
  4. Maximum Number of Motorized Vehicle for each site is limited to the Motorized RV and a towable vehicle or the Motorized Vehicle towing an RV or similar trailer, providing that the total length of the motorized vehicle and trailer fit within the maximum length of the rented site. Should your total vehicle and trailer/towable length exceed the maximum site length you will be required to park your vehicle in our overflow area and be subject to a $5.00 per night per vehicle fee.
  5. Vehicles in Excess to the Maximum per site shall be subject to parking in our designated overflow parking and shall be subject to a $5.00 parking fee per 24 hours or park thereof.
  6. Parking on campground laneways or roadways is not permitred under any circumsrances and that can be subject to removal at the lodgers or vehicle owners expense so that we can keep our laneways and roadways free of parked vehicles in the event of an emergency.
  7. Non-Insured or Non-Operatable vehicles are not permitted within our campground under any cicumstances. This include the use of ATV, Snowmobile, Golf Cart, Hoverboard or Un-Insuered Scooter or similar motorized vehicles.
L. Fires

Open Flame fires are only permitted in our provided fire pits or with a CSA-aproved propane fire pit of a size less than three feet across. Should local, Provincial or Federal Governments impose fire notices or bans, that the Lodger shall take upon there sole responsibility to adhere to these fire notices and bans.

M. Camping with your Pet's
  1. At the time of booking you will provide the following information regarding your pets:
    1. Pet's Name
    2. Pet's breed
    3. Pet's Age
    4. Pet's Weight
    5. A recent photo (no older than 7 days) of your pet¹.
    6. If applicable, your Pet's microchip Number¹. 
  2. No visiting pet's are permitted, only pre-registered pet's are permitted.
  3. A maximum of two pet's are permitted on each rented site. The only exception to this rule is service animals for which you will be asked for additional documentation upon booking².
  4. Your Pet must be registered and on a leash at all times (except within your air-conditioned RV unit). There are no other exceptions to this rule.
  5. Your Pet must be well-socialized and non-aggressive toward other Pets and human guests.
  6. Pick up after your Pet no matter where, and please place this in our garbage receptacles. Failure to comply will result in immediate removal from our campground.
  7. We reserve the right to refuse certain Pet breeds for the safety of our other guests.
  8. For your Pet's care and comfort, we only allow pets to stay in RV units with air conditioning that can maintain a suitable environment to prevent your Pet's distress³.
  9. If we see your pet in distress and you do not provide appropriate care, we shall contract local authorities to ensure that your pet receives the appropriate vetrinarian care³.
  10. No physical or similar abuse towards your pet will be tolerated and will be reported to local authorities, after which your will be asked to leave our campground immediately².
  11. Pets can not be left unattended under any circumstances and must be in the care of the adult pet owner or an adult nominee for short period of time not exceeding 30 minutes every 24 hours⁴.
  12. If you are camping with your pet's we reserve the right to move your camping site so that we can ensure the most quiet camping for all guests at our site. This includes asking your to move your site after you have arrived at our campground⁵.
  13. Your Pet must have a valid rabies vaccination, and you must present this valid vaccination card upon request.
  14. In the event of property damage, you shall be required to provide full payment of damages prior to leaving.
  15. In the event that your pet causes any injury to any camper, guest, or staff member, our policy is to report the incident to the RCMP and have BC Ambulance attend to the injured party. You, as the site renter, shall be responsible for ensuring that the Pet, along with the Pet owner, remains on the property until released by the RCMP. You shall also be financially responsible for any costs or claims from the injured party resulting from this matter.  After being released by the RCMP, we reserve the right to ask the Pet Owner and the Pet to vacate our property immediately for the future safety of our guests.

  1. We ask for both a recent photo and microchip information so that we can provide this information in the event that your pet become lost while camping. We may also ask if we can use your pet's photo on our social media or similar sites for the purpose of future marketing.
  2. We define a Service Animal as that as defined by either the British Columbia Service Animal Act or the similar government issued Service Animal Act or Rules from your residential Province of State. You will be asked to provide both the government issued Service Animal card for the Service Animal as well as the corresponding government issued card for the Service Animals, person with the disability and that the persona with the disability will be one of the registered guests staying at our campground.
  3. We have very strong pet rules regarding the suitable care of your pet as we beleive that your pet is as important as any other family member.
  4. Your pet's must be under the constant supervison of  the adult pet owners or for short period not exceeding 30 minutes during any 24 hour period, an adult nominee as designated by the Adult pet owner.
  5. While we will try not to ask you to move, in the event where neighboring site pets are aggitated, we may ask you to move sites to remedy this for the comfot of all pets involved. In the event that the site we ask you to move to is at a lessor rate, we shall refund you the difference between the reserved site and the new site prior to your departure from our campground.
N. Use of Photography, Drones or Surveillance within our Campground.
  1. Photography or Video at our site is permitted, providng that you request and receive written consent of any individuals included within your photo or video and that this consent also extends to the posting of any photo's or video's on any social media, messaging or internet platform.
  2. Drones are not permitted to be used within our campground property.
  3. Video Survelliance is only permitted within your campsite area only and that all other area's within the video area must be blacked out (as to protect the public area's and neighboring campsites privacy).
O. Important Times
  1. The check in time is between 2:00 pm and 08:00 pm.
  2. The check out time is 11:00 am and the Lodger,, Guests shall vacate the Country Hideaway RV premises by this time..
  3. Quiet Time is between 11:00 pm and 7:00 am and the Lodger shall ensure he or she, their Guests, Visitors and Pet(s) shall reframe from any noise, or of a generator, visual or audio, vehicles or similar equipment that makes a noise level is excess of normal spoken level or 60 decibels.
P. Posting, Removal and Liability of Public Comment or Review.

The Lodger shall ensure that any public comment or review shall be first provided to Country Hideaway for response and resolution. Should Country Hideaway object to the public posting of this comment or review and request mediation, should the Lodger deny mediation, that the Lodger shall be financially responsible for costs of removal along with any costs and legal fees resulting from any financial losses or damages resulting from this public review or comment.

Q. Resolution of Disputes
  1. In the event of a claim or dispute, all parties agree to make every attempt to resolve this claim or dispute.
  2. In the event that a claim or dispute can not be resolved, either party may request third party binding mediation. The cost of such third-party mediation shall be the responsibility of the party requesting such third-party medication.
  3. In the case of binding third-party mediation, all parties agree in advance of the outcome provided by the third-party mediator.
R. Written, Electronic and Funding Agreement to Consent

You are in agreement that by the viewing of this occupancy agreement at the time of booking and at the time of arrival at our campground, that you shall provide your consent by either written, recorded verbal, electronic or by providing payment to our campground and that any of these actions shall consitute absolute and complete agreement to all terms of this occupancy agreement.

S. Government Body and Legality of this Agreement.
  1. This agreement shall be governed by the laws set forth in the Province of British Columbia.
  2. In the event that a portion of this agreement is ruled invalid, that all parties shall agree that this portion of the agreement shall be modified to express the intent of the terms associated with the invalid portion of this agreement.
  3. In the event that a portion of this agreement shall be ruled invalid, that all other portions of this agreement shall remain enforceable under the laws or British Columbia.

You will be asked to view and agree to the above occupancy agreement at the time of booking and at the time of arrival at the Country Hideaway RV Park & Campground Limited.
